Documenting Sensitive Outcomes
Activity: Reporting the Outcome to a Direct Supervisor
Purpose
After a customer de-escalation, exception decision, return issue, or Star Rewards-related outcome, report the result clearly, respectfully, and only to authorized leaders.
What to Report
- Customer concern or situation summary
- Actions taken to de-escalate the interaction
- Final outcome or decision
- Any exception, return, or reward-related policy applied
- Missing information, required correction, or pending approval
- Customer response and any ongoing risk or follow-up needed
Use Objective Documentation
- Record facts, dates, names, and actions taken.
- Avoid personal opinions, blame, or emotional language.
- Use professional and respectful wording.
- Include only information needed for business review or follow-up.
Protect Sensitive Information
- Share details only with authorized supervisors or reviewers.
- Do not discuss customer, colleague, or nomination information outside the approved process.
- Follow Macy’s confidentiality and documentation expectations.
When More Information Is Needed
- State exactly what is missing or unclear.
- Explain what must be corrected or provided.
- Include any deadline or required approval, when applicable.
Sample Supervisor Update
“The customer concern was reviewed and de-escalated. I confirmed the available information, explained the applicable policy, and documented the final outcome. Additional approval is needed before any exception can be completed.”
Key Reminder
Clear documentation helps supervisors confirm that the outcome was handled consistently, respectfully, and within policy.
