Activity: Selecting Charge Codes

Charge codes identify how work time should be categorized for payroll, scheduling, reporting, or department tracking. Selecting the correct code helps ensure your time is recorded accurately.

When Selecting a Charge Code

  • Choose the code that matches the work you actually performed.
  • Use the correct department, role, project, or activity code when multiple options are available.
  • Confirm whether non-work time, such as training or approved time off, requires a separate code.
  • Do not guess if you are unsure which code applies.
  • Ask your manager or timekeeping contact before submitting unclear entries.

Common Examples

  • Regular Work: Time spent performing your scheduled job duties.
  • Training: Time spent attending required onboarding or job-related training.
  • Meeting or Administrative Time: Time spent in approved work meetings or required administrative tasks.
  • Paid Time Off: Approved vacation, sick, or other paid absence, if applicable.

Before You Submit

  • Review each timesheet line for the correct date, hours, and charge code.
  • Make sure the total hours match the time you worked or were approved to report.
  • Correct any coding errors before submission.
  • Submit your timesheet by the required deadline.
